Getting started
What is bowcloudspay?
bowcloudspay helps Nigerian nursery, primary and secondary schools collect and reconcile fee payments digitally. Schools set up their terms, classes and fees; parents pay online or by bank transfer; and every payment is matched to the right student automatically — with instant receipts and clear reporting on both sides.
How does my school get started?
Create a school account from the “Get onboarded” button, verify your email, then follow the onboarding checklist to add your terms, classes, fees and students. You can invite other staff — bursar, principal, admin officers — once your school is set up, each with the right level of access.
How much does it cost?
Schools can start on a free plan. Online card and transfer payments carry the usual payment-processor charges, and the platform takes a small cut on online collections. Talk to us via the Contact page for current pricing for your school.
Is there a mobile app?
Yes — bowcloudspay works on any phone straight from the browser, and parents can add it to their home screen so it opens like an app. A dedicated parent app is planned. Everything a parent needs — invoices, paying, receipts, collections and reporting a payment — works on a phone today.
Payments & reconciliation
How can parents pay?
Parents can pay by card, by bank transfer, or into a per-student virtual account. Whichever method they choose, the payment is recorded against that child so your records stay clean.
How does auto-reconciliation work?
Each student can be given a dedicated virtual account number. When a parent transfers to it, we match the payment to that student automatically — no manual matching against a bank statement. Where a virtual account isn’t used, parents can upload proof of payment or you can match a bank-statement CSV.
Does it prevent double payments?
Yes. Because every invoice shows exactly what has been paid and what is still due, parents don’t accidentally pay twice, and staff can see a payment the moment it lands.
Can parents pay in instalments?
Yes. Instead of demanding a term’s fees in one go, a school can accept part-payments: a parent pays any amount (above a minimum the school sets) toward what they owe, and always sees Total, Paid and Remaining. Schools can also lay out a simple schedule of due dates, and mark certain items as full-payment-only. Every part-payment still produces its own receipt.
Can we give discounts, scholarships or early-payment rebates?
Yes. Schools can grant per-student scholarships and discounts, or apply them in bulk to a whole class or group. There’s also an early-payment waiver that lowers what a parent actually pays when they clear fees early — the reduction comes off the bill, so no money is left stranded.
A parent says they paid but it isn’t showing — what now?
The parent can raise an “I paid but it isn’t showing” report right from their invoice or statement, giving the amount, date, method (transfer, card or cash) and an optional reference or screenshot. It lands in the school’s triage queue, where staff can trace the money, ask the parent for more detail, or explain why it isn’t there — with the parent notified at each step. It replaces untracked phone calls and never moves money by itself.
Voluntary collections
Can we collect money that isn’t a termly fee?
Yes — collections handle voluntary, one-off money: a send-forth for graduating students, a gift for a teacher, a building fund, an excursion or club fee. You create a named collection (with an optional goal and deadline), and parents contribute online with a receipt, just like a fee. It’s always voluntary and never affects a child’s fee balance.
Can we hide how much a collection has raised?
Yes. Each collection can hide its running total from parents — they can still contribute and get a receipt, but they won’t see the amount raised, while staff always do. You can also share a public link so alumni or well-wishers can contribute without an account, and turn that link on or off at any time.
Can we edit or remove a collection?
Yes. You can edit a collection’s details at any time, and choose to be notified whenever a contribution comes in. A collection with no payments yet can be deleted; once money has been received it can be archived instead, so your records are never lost.
Parents & receipts
Do parents get a receipt?
Every successful payment produces an instant receipt the parent can view and keep. Parents can also see a full statement of what they’ve paid across terms.
How do parents log in?
Parents sign in with the phone number their school has on record and a one-time code. The code is sent by email (with SMS coming soon), so parents on “Do Not Disturb” numbers still receive it.
How does a parent connect to their child’s school?
A parent can search for their school by name, then link to their child using the admission number the school provides. Once linked, they see that child’s invoices, balance, receipts and any collections.
What if a parent has children in more than one school?
A parent with children across different bowcloudspay schools sees them all in one place, with a single combined overview and an easy switch between each school — one login, every child.
Running your school
Can different staff have different access?
Yes. You can invite staff as proprietor/owner, principal, bursar, accountant, admin officer or auditor, and each role sees only what it should. Sensitive actions carry an extra safeguard: a large discount needs a manager’s sign-off, and approving a big expense can require a PIN or authenticator code.
Can we message parents?
Yes. Schools can send announcements and reminders to parents, and the platform automatically notifies parents of key events — a new invoice, a confirmed payment, an approved transfer. You can tailor the wording to your school.
Can we track expenses and see if we’re profitable?
Optionally, yes. The finance module lets you record expenses and see them against money collected in a profit-and-loss view. Spending can flow through an approval chain you configure — a request is raised, routed to the right signer(s) based on amount, and only then posted — with a printable voucher for your records.
Do we have to type in every student?
No. You can bulk-import students (and their parent links) from an Excel or CSV file. The system validates and previews the file first — flagging duplicates, unknown classes or bad phone numbers row by row — so you fix problems before anything is created.
Can we see who did what?
Yes. Key actions — payments recorded, discounts granted, approvals, changes to settings — are written to an audit log in plain language, so an owner or auditor can always see who did what and when.
Security & data
Is our data secure?
Payments are processed by licensed payment providers, and sensitive data is protected in transit and at rest. Each school’s data is kept separate from every other school on the platform.
How do you handle personal data (NDPR)?
We handle personal data in line with the Nigeria Data Protection Regulation (NDPR): we collect only what’s needed to run fee collection, keep it secure, and don’t share it with other schools. Parents can request a copy of their data or its deletion. See our Privacy Notice for details.
